Start with the right airport and terminal
When requesting a pickup, give the full airport name rather than simply “London airport”. Our airport transfers page lists Heathrow, Gatwick, Stansted, Luton, London City and Southend, alongside other UK options. Your terminal, flight number and travel date help the team identify the journey you need.
If someone else is arranging the transfer, make sure the booking includes a contact number for the person travelling. Provide the destination’s full address and postcode, especially where a hotel has more than one London property.
Landing time is only one part of the plan
The time your aircraft lands is not necessarily the time you will be ready to leave. Passport control, baggage collection and assistance through the terminal can all affect your arrival in the public hall. Share your scheduled landing time and discuss the collection arrangement when you receive your quote.
Ask how delays, early arrivals and waiting time are handled. Keep the agreed contact details accessible, and let the team know if your flight or terminal changes. Clear communication is more useful than trying to guess exactly how long every arrival step will take.
Choose space for people and luggage
Passenger numbers alone do not describe the vehicle you need. Two travellers with large cases, a pushchair and sports equipment may need more space than a larger party carrying only cabin bags. List large cases, smaller bags and any bulky items separately.
Mention child-seat requests, mobility equipment and any help you need before confirming. Ask the team to confirm a suitable vehicle and any specific arrangements in writing, rather than leaving these details until collection.
Agree where you will meet
Pickup arrangements depend on the airport and the service agreed. Check the meeting point in your confirmation, how to contact your driver or booking team, and what to do if you cannot find one another. Avoid assuming that an arrivals pickup uses the same area as a departure drop-off.
For a hotel arrival, think about check-in time as well as the journey itself. After a long flight, a simple transfer and a little recovery time may suit you better than an ambitious sightseeing schedule.
